The Colorado African Innovation & Cultural Center (CAICC) is committed to protecting the privacy, safety, and digital rights of all participants in the Digital Equity Mini-Grant Program. This policy explains what information we collect, how we use it, and the safeguards we maintain to ensure confidentiality and responsible data handling.
 
1. Information We Collect
We only collect information necessary to operate, evaluate, and improve the Digital Equity Mini-Grant Program. This may include:
Personal Information

  • Business/organization name (if applicable)

  • Demographic information voluntarily provided (e.g., zip code, age range)

Business & Digital Capacity Information

  • Digital skills needs

  • Technology and device access

  • Website, social media, or digital tool usage

  • Participation in workshops, trainings, or consultations

Program Participation Data

  • Attendance records

  • Pre/post assessments or surveys

  • Technical assistance or coaching notes

  • Progress toward digital equity goals

Optional Media

  • Photos or videos only when participants give written or verbal consent

  • Testimonials with explicit permission

 
2. How We Use Your Information
CAICC uses collected information only for purposes that support program success and community impact, including:

  • Delivering digital skills training, coaching, or small-business support

  • Evaluating program effectiveness and reporting required metrics

  • Meeting grant reporting requirements for funders, including the City and County of Denver

  • Contacting participants about upcoming sessions, resources, or opportunities

  • Improving program design and digital equity services

We never sell or rent personal information.
 
3. Data Sharing & Disclosure
CAICC limits data sharing to what is necessary, minimal, and aligned with our mission. Information may be shared with:
Program Funders
Only aggregate or de-identified data (e.g., number served, types of services used) is shared unless an individual explicitly consents otherwise.
Program Partners
Partners assisting with training or technical support may receive necessary participation information but cannot use it for unrelated purposes.
Required Legal Disclosures
We may share information if required to comply with state or federal laws.
 
4. Data Protection & Security
CAICC maintains strict safeguards to protect all participant information, including:

  • Secure, password-protected data storage

  • Restricted access for authorized staff only

  • Encrypted digital files for program records

  • No collection of sensitive financial information unless required for grant eligibility

  • Regular review of data handling practices

If a data breach occurs, CAICC will notify affected participants promptly and take corrective action.
 
5. Your Rights as a Participant
Participants in the Digital Equity Mini-Grant Program have the right to:

CAICC values community stories but respects participant privacy.
Photos, videos, or testimonials are only used when consent is given.
Participating in the program does not require media consent.

CAICC may update this Privacy Policy to reflect improved practices or new legal requirements. The updated version will be posted on our website and shared as needed.
